At Weslo Events we believe that quality planning is critical to ensure that all targets of delivering a quality product are identified and achieved.
To that end, we maintain an Internal Quality Assurance Program. This document provides our staff with a well-recognised framework which includes:
- Define and clearly state each deliverable required by the client – both processes and product.
- Develop a plan to deliver the outcomes and refer to our client for approval or input where appropriate
- Set measurable, quality criteria for these outcomes that reference the relevant Industry Awards.
- Schedule appropriate review points and correct any deficiencies or include any modifications as required.
- Project Implementation through to completion and within budget. Outside the scope of this project, additional consultation and delivery of events can be negotiated.
By developing a plan to monitor and control quality we can clearly identify areas of services that require extra attention and ensure that your expectations and our standards line up.
We believe that every event is an opportunity to help or hurt your brand perception. Frequent events need to hit measurable (revenue and attendance) targets. We understand that events can be stressful if they are not planned carefully and you can’t afford to have events turn into disasters - events are only successful if you have enough attendees.
Our plan is to understand your event(s) you are currently looking to undertake, the success as measured by yourself, and where they best fit into your market and demographic through vigorous research and preparation. We would look to plan your current and alternative events thoroughly in detail to meet your objectives, then execute & measure the events with a view to develop and improve future outcomes based on the results.
Working with the guidance and approval of your team at all times, and within the guidelines and templates provided by you, Weslo would recommend a full organisational event management SWOT to review the strengths, weaknesses, opportunities and threats to the current events and event team or the organisation as a whole. A document would be created outlining the goals and objectives of the event and determine responsibilities for the event management team and marketing.
In the event preparation/research stage we would recommend we conduct an Event Maturity Assessment understanding the strategy, reviewing previous results and execution. We would work collaboratively with you to outline, then develop an event marketing strategy with clear objectives and metrics including timeframes and goals. All responsibilities would be documented for the event manager/project teams showing responsibilities and an event management plan would be completed.
In the design/plan stage Weslo would evaluate the resources and associated suppliers needed for each event project as well as organising budgets, dates and contacts. Community demographics would play a central role in determining the suitability and viability of each event. A code of conduct will be established for all staff and contractors to ensure professional behaviours and minimize risk as well as maintain a consistent image of your brand.
Once accepted and approved each project would move to Promote stage where an event promotions plan would be recommended. This would take into consideration the target audience, message to be delivered and channels of delivery as well as budgets and measurables for success.
Having developed your event, compiled a marketing strategy and promoted the event, execution of the plan is the next logical step in the process. Our methodology, however, does not end when the event does.
On completion of an event, our strong recommendation will be to action the final step in the process by gathering the data required for evaluation, and measuring the success as established in the Prepare stage either through revenue generated (Budgets) or ticket sales (attendance). We would follow the current planning process with you with additional information to support the findings.
Another strategic consideration could be the consideration of shared services with an outsourced service provider for unique or larger events. Weslo Events could work alongside your team, coaching and developing their skills and managing the project of many larger scale events.
In today’s busy climate, many corporations, councils, associations and government agencies turn to external organisation for their skills and experience in event management. They are finding themselves faced with overextended staffs and shrinking budgets, and outsourcing some (or all) events is a high consideration.
Perfect deliberate planning is crucial for Event Management so that all requirements can be accomplished in a defined manner. For every event, management is an essential step to make the event successful. Many organisations who use an external event management team such as Weslo Events do so for the following reasons:

Perfect deliberate planning is crucial for Event Management so that all requirements can be accomplished in a defined manner. For every event, management is an essential step to make the event successful. Many organisations who use an external event management team such as Weslo Events do so for the following reasons:
Risk management: An event is full of uncertainties that might be encountered like power failure, medical emergency, stampede etc. To combat the above, the event management company brings in its expertise. The expertise lies in formulating a good risk management plan that is carried out at every stage of event production.
Employing an event management company reflects signs of good business: A specialized company such as Weslo Events has access to a large array of resources and skills to handle events including marketing, security personnel, ticketing, cash management and most of all, previous skills.
End-to-end event technology: Weslo Events uses its own resourceMANAGER proprietary software which pulls together all aspects of an event including ticket sales, staffing, event management, liquor licencing, traffic control, risk assessments and rostering. A proper management scheme must be drafted to ensure that all deliverables are met. With changing times, software is essential to exercise absolute control over conducting events, festivals, concerts and the like. An event management company brings all of the aforementioned into consideration before embarking on a project.
By outsourcing event management to companies who deal with them, you can save time and money: An event management company has direct links with suppliers and other concerned people who help them get good rates for requirements concerning a particular event. It saves time because you would just have to confirm the dates, the rest being borne by the event management company.
Event management firms engage in smooth execution of ideas as planned: They brace themselves even for contingencies that might crop up. Weslo engages personnel with a wide range of experience, skills and abilities to ensure that only the best be delivered. Eventing is a multi-faceted profession and often demands specialists that cater to different aspects.
